Document Supervisor III – ROD
This position will oversee the processes and procedures of recording and storing documents. The work is performed under the direction of the Office's Assistant Deputy, but extensive leeway is granted for the exercise of independent judgment and initiative. Will supervise the work of employees in the class of Legal Instrument Examiners I, II and III.
HIRING SALARY RANGE: $58,864 - $80,080 (Estimated Salary Range)

Duties and Responsibilities
Duties include: provides supervision of subordinate department employee s and related support personnel, including designating duties, overseeing the completion of tasks, and preparing evaluation reports as required; trains personnel on a variety of filming or scanning techniques, observances to be made and equipment for various projects; assigns projects to equipment and personnel to optimize production; indexes and verifies data for liens and mortgages; assists customers, both in person and via email or written correspondence with research on property ownership and family ancestry; maintains common name file that includes all names entered into the system from recorded documents; provides technical advice regarding new projects, equipment, production and quality standards to management and customers; reviews data on deeds and mortgages for accuracy and when necessary, makes corrections into variety of databases and systems; responds to requests from State Department of Revenue to expunge state tax liens that were recorded in error; oversees the resolution of quality control issues from in-house personnel and customers; performs duties of a Legal Instrument Examiner as needed; responds to questions, comments and requests in a courteous and timely manner; keeps immediate supervisor and designated others fully and accurately informed concerning work progress; attends meetings, conferences, workshops and training sessions and reviews publications and audio-visual materials to become and remain current on the principles, practices and new developments in assigned work areas; performs other directly related duties consistent with the role and function of the classification.
Position requires a High School Diploma (or GED) supplemented with at least five (5) or more years of experience as a Legal Instrument Examiner or a related field, with at least four (4) or more in a supervisory role; OR any equivalent combination of experience and training which provides the knowledge, skills and abilities necessary to perform the work.
Knowledge, Skills and Abilities
Thorough knowledge of laws and regulations regarding recording of deeds, mortgages, UCC filings, and liens. Must have ability to provide effective leadership, motivation, and supervision to subordinates and related support personnel while performing duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines. Ability to maintain a professional and courteous demeanor at all times when dealing with the general public, attorneys and paralegals, in person and by telephone.
